PromoSuite specializes in Promotions and Sales workflow tools for the broadcast industry. Our flagship PromoSuite® system was first introduced to the radio industry in 1992, allowing radio stations to streamline logistics for contesting, sales requests, live content scripts, 1099s/W9s, and more. This system evolved into PromoSuite® Next, its cloud-based successor, which is currently used at over 2500 radio stations worldwide.

Our newest system, PromoSuite® Mail, is the radio industry-standard solution for promotional email blasts, newsletters, and breaking news alerts. The platform offers corporate-level functionality allowing users to send out national promotions emails, nationwide breaking news alerts, and many other cross-market capabilities. The platform also boasts a number of direct integrations with PromoSuite® Next.

Summer has arrived! With it, we’ve given you some brand new PromoSuite functionality to enjoy with the sunshine and beaches. As always, you can call your friendly Client Relations Specialist at 212-509-1200 to ask questions and get more details!

ADD PROMOSUITE EVENTS TO YOUR PERSONAL CALENDARS:
Want to sync your events in PromoSuite Next to an Outlook Calendar? PromoSuite now offers the ability to export your Events into an ICS file. As ICS is the universal calendar file, you can now upload events Outlook, Google, or Microsoft Exchange calendars. All that’s needed is to first open the event under Promotions > Events > Event Information > Event Info, then click the calendar icon!

START AND STOP YOUR COPY/SCRIPT ON SPECIFIC DAYS AT SPECIFIC TIMES FOR LIVE PROGRAMMING ELEMENTS:
We can now pinpoint the exact time and date we want a Liner Copy to change. In any programming element script/copy section, click “Apply Start/End Times to Overall Flight” This allows copy groups to be set to change for specific times on specific dates to change, as opposed to the copy changing every day. Available for all Programming Elements, you can now schedule with even greater precision!

“DEFAULT” LAYOUTS FOR YOUR FAVORITE REPORTS:
Tired of having to select your custom layout every time? Now when you run a contest winners report, you can select a specific layout to be your default, making the process that much quicker. All that’s required is to check the “Make My Default” Box when saving a custom layout.

CREATING NEW SALES FORMS JUST GOT EASIER:
Sales forms can now be copied! Make your way to sales setup, and you will now see a button that allows you to copy forms by either content or approvers. While you’re at it, throw in a new bold and large font “Header” and/or a centered instructional “Instruction” field.

SALES NOTIFICATIONS ARE NOW LIVE:
We can now link certain users to specific fields in a Sales Request. How you ask? We can assign users to specific fields, custom or standard. Then, whenever a form with one of those specified fields is approved, the designated users get a notification email with all the info! Share away!

ALLOCATE YOUR SCHEDULED ITEMS STRAIGHT FROM A SALES REQUEST:
We’ve now streamlined the sales process! Sales requests forms can now include categories for all elements available to be scheduled into the Studio. As a result, any Liner or Contest created from a request automatically allocates to the category selected. Once finalized, you can go straight to the scheduling utility and push it thru to the Studio by daypart, benchmark contest name, or any category included in your scheduling clock.

COPY YOUR MYALERTS FROM STATION TO STATION:
Got sales alerts you want to edit for all your stations? Gone are the days to which you would have to make the changes one station at a time. Copying Alerts settings is now available for all sister stations.

SALES EMAIL HAVE A NEW EMAIL SUBJECT:
Our Sales Request Notification Emails got a subject facelift. Now when learning the details of a sales request to approve, the subject of the email will read – ” <<Submitter Name>> – <<Promotion Name>>: Ready for Review”. We wanted to give your inbox a little love.

REQUEST NAME AND TIMELINES ARE NOW OPTIONAL IN SALES FORMS:
For the remote request, it didn’t quite make sense to have a request timeline, as it often is only one date! We’ve made request timeline optional, so only one date is needed to submit a sales request. Additionally, we created an auto-generated name for requests if we wish to delete the custom name. The form name will then default to <<Advertiser>> – <<Date Submitted>>. If no advertiser is selected? It becomes <<Submitting AE’s Name>> – <<Date Submitted>>

Don’t forget, PromoSuite provides unlimited phone training and unlimited customer support. If you have any questions about these new features or any other features, don’t hesitate to call us at 212-509-1200.

Do you need to see how your airtime is being promised? Maybe you have a big client meeting and want to see how much promotional inventory is left to bring in that big deal. Maybe your station sounds cluttered and you need a more visual display of your commitments.

If so, PromoSuite Next has the feature for you. Our new Avails tool will show you all that. And more!

How it works

Navigate to Sales > Avails and PromoSuite Next can demonstrate how any of your on-air promotional inventory is being allocated across the calendar. But it’s not just a calendar.

When you load the calendar, you can filter whether you want to view both filled and requested time slots by name or category. View the promotional commitments and tweak them live as you go. Updates made here are reflected throughout PromoSuite Next. This gives you the (be careful, business jargon ahead) 35,000 ft. view while letting you synergize each of your silos. In all seriousness, edit the details but be aware of everything!

Prefer a report layout instead of a calendar? You’re not the only one. Some of the folks on our team feel the same way so we included that option too.

Whichever version is right for your needs will give you the chance to work more efficiently and more effectively, from anywhere.

Want to see more? Call your Client Relations Specialist at (212) 509-1200 or email info@promosuite.com to learn how you and your team can get the most out of this helpful new tool!

In today’s business world, data is king – the more you have, the better your strategy can be, and the more intelligent your decisions will be. This certainly isn’t new ground for radio, but as many of our clients have lamented, there is so much data that it can be challenging to know how to make it actionable. That’s why PromoSuite Next is now seamlessly integrated with the data analysis powerhouses over at DMR/Interactive – to help you roll out the red carpet for the most important and influential listeners in your market.

A long-time friend and business partner of ours, DMR sifts through your mountains of data to identify the exact listeners you should be super-serving to affect ratings and revenue. Their special sauce is extremely potent, and we’ve had dozens of clients throughout the years sing their praises to us. So earlier this year, we set out to combine forces with DMR for the greater good of radio.

What we quickly realized when analyzing our Venn diagrams was that PromoSuite Next offers a unique opportunity to DMR clients – to flag DMR-identified “super-fans” when they are physically at your radio station to pick up prizes. By giving your receptionist a heads up that this listener is a person who can help you move the needle, you can super-serve them by giving them a tour of the station, a meet-and-greet with your on-air staff, or something else that builds loyalty and gets them sharing their love for your station on social media.

Here’s what your receptionist would see in PromoSuite Next during Prize Pickup:

Then it’s just up to you and your trusty DMR rep to determine what experience or acknowledgement to give those key listeners.

If you’re interested in having your DMR data available in PromoSuite Next, just get in touch with us or your DMR rep to let us know you want in. 212-509-1200, or info@promosuite.com.
